Operations Specialist
💰 Salary: $1,500 USD/month
📍 Location: Mexico City, Mexico | Hybrid
🏢 Office Requirement: 2 days per week in the office
💵 Payment: Bi-weekly base payments
🕙 Schedule: Monday–Friday, 8:00 AM–5:00 PM ET (1-hour lunch)

Our client is a vertically integrated, technology-first real estate investment and property management platform. Operating on an AI-first operational philosophy, they manage a rapidly growing Sunbelt portfolio approaching 3,000 workforce housing units across multiple U.S. states.
They run property management, construction, asset management, and financial operations in-house using an EOS management system. Leveraging technology and AI across every facet of their business, they aim to optimize community performance, resident experience, and portfolio growth.
About the Role
This is not an entry-level data-entry seat—it is the operational and financial backbone of the portfolio. Sitting alongside and serving as cross-trained coverage for the Operations Coordinator, you will catch and resolve exceptions across daily financial reports, AP/AR workflows, vendor communications, and operational queues.
This execution-and-analysis role inherits heavy volume from day one. Strong candidates use technology, AI tools, standard operating procedures, and sharp judgment to streamline repetitive workflows, resolve root-cause process issues, and deliver double the operational throughput.

Core Responsibilities
Daily Operational Execution: Run recurring operational processes accurately and on schedule. Review daily/weekly operational and financial reports to catch errors, risks, or anomalies before they compound.
Financial Data & Reporting: Generate and compile weekly/monthly financial reports from core systems (Yardi/equivalent). Build clean reporting templates, track property KPIs, and support budget variance tracking.
AP/AR & Vendor Operations: Monitor accounts payable/receivable workflows, delinquency tracking, and invoice processing. Conduct routine system audits, resolve billing discrepancies, and maintain professional vendor relationships start to finish.
High-Volume Email & Request Resolution: Manage a high-volume inbox, prioritizing requests by urgency. Resolve issues end-to-end across internal teams, property managers, and external vendors without handing them off half-solved.
AI, Automation & Process Improvement: Identify repetitive tasks and implement AI/automation solutions (Make.com, Zapier, Claude). Maintain clear process documentation to continuously eliminate friction and measure time saved.
Operations Coordinator Backup: Actively cross-train to serve as full operational backup during PTO, peak volume, or transitions, ensuring zero gap in business continuity.
System & Data Integrity: Maintain proficiency in Yardi, Coda, AvidXchange, Excel, and Google Workspace. Catch data synchronization errors across financial platforms early.

Qualifications
Required:
Language: Fluent English (written and spoken) with clear, professional communication skills.
Education & Experience: Bachelor’s degree in Business, Finance, Operations, or related field preferred. Proven background in high-volume operations, business administration, finance, or property management.
Technical Skills: Advanced proficiency in Microsoft Excel and Google Workspace. Comfortable picking up complex software systems (Yardi, AvidXchange, Coda) independently.
AI & Automation Capability: Demonstrated ability to build practical workflows using AI tools (Claude, ChatGPT) and automation tools (Zapier, Make.com) to save time and boost throughput.
Execution & Ownership: Strong problem-solving skills with the judgment to know when to solve an issue independently vs. when to escalate.
Preferred:
Background in multifamily property management or real estate operations.
Practical AP/AR, reconciliation, or vendor management experience.
Prior experience with Yardi, AvidXchange, Coda, Make.com, or Zapier.
