Our client is a well-established construction company specializing in residential renovations, property turns, maintenance services, and commercial construction projects. They work with large real estate portfolios and property management firms across major U.S. metropolitan markets and are known for delivering high-quality workmanship and outstanding customer service.
They are seeking a highly organized and proactive Construction Administrative Assistant to support their project management and operations teams. This is an excellent opportunity for someone with construction administration experience who thrives in a fast-paced environment and enjoys keeping projects organized from start to finish.
What You'll Do
Provide administrative support to Project Managers, General Contractors, and leadership.
Coordinate with vendors and subcontractors to request quotes and assist with bid management.
Communicate professionally with clients, providing project updates and addressing inquiries.
Prepare, organize, and maintain construction documentation, including:
Change Orders
Purchase Orders
Service Agreements
Project records
Assist with scheduling, calendar management, data entry, and document filing.
Draft and send professional emails and correspondence.
Support invoicing, bookkeeping, and project financial tracking.
Maintain accurate project logs and documentation.
Assist with additional administrative projects as needed.
What We're Looking For
Required Qualifications
Previous experience as an Administrative Assistant, preferably within the construction industry.
Experience supporting property management companies and dispatch operations.
Strong proficiency with Google Workspace (Gmail, Docs, Sheets, Calendar, Chat, Admin tools, etc.).
Excellent written and verbal English communication skills.
Outstanding organizational and time management abilities.
Ability to manage multiple priorities in a fast-paced environment.
High attention to detail and accuracy.
Strong customer service mindset with a positive, collaborative attitude.
Self-motivated and comfortable working independently.
Reliable high-speed internet and a quiet workspace suitable for video meetings.
Flexibility to occasionally work beyond standard business hours when projects require.
