EXECUTIVE ASSISTANT
Operations Support | AI-First | Remote (LATAM)
Salary: USD $18,000 – $21,000/year DOE + Monthly Health Insurance Bonus (~$100/mo)
Schedule: Monday–Friday, 8:30AM–5:30 PM EST
PTO: 10 days/year (accrual) | U.S. Holidays Off
Payments: Bi-weekly

Latino Legends is partnering with a a fast-growing, U.S.-based real estate investment firm managing a diverse portfolio of residential and commercial properties across multiple states. They operate with an AI-first mindset—leveraging automation, data intelligence, and modern technology to drive operational excellence, scalability, and long-term sustainability. Efficiency isn’t optional here. It’s embedded in how they work.

About the Role
You’ll serve as the right hand to the Director of Operations—providing direct administrative, operational, and financial support while acting as the accountability engine that keeps everything moving forward. This is not a “take notes and schedule meetings” role. This is a role where you own systems, chase down loose ends, flag what’s falling through the cracks, and push back when things aren’t getting done—including pushing back on the person you report to.
The Director will be the first to tell you: he’s a big-picture operator, not a details person. He needs someone who fills that gap—someone who tracks every commitment, follows up relentlessly, and isn’t afraid to say “Hey, this still isn’t done and it needs to be.” If that sounds like you, this role will give you more autonomy, exposure, and impact than most EA positions ever will.
You should be highly organized, financially literate, tech-savvy, and comfortable using AI tools daily to multiply your output and improve workflows across the organization.

A note on availability and boundaries.
This role requires a willingness to be responsive to after-hours communications when they come up. Things move fast in real estate and sometimes decisions can’t wait until morning. That said, the Director respects boundaries and prioritizes work-life balance. You won’t be expected to be on-call 24/7—but when something urgent comes through, we need someone who’s willing to engage. It’s a two-way street built on mutual respect.
Key Responsibilities
Accountability & Follow-Through
Own the Director’s task list, commitments, and deadlines—track every open item and ensure nothing falls through the cracks
Follow up proactively on outstanding deliverables across departments, vendors, and leadership
Send reminders, escalate delays, and push back professionally when timelines are slipping
Maintain a running accountability tracker—who owes what, by when, and what’s overdue
Serve as the “closing engine” that turns conversations and commitments into completed tasks
AI-Driven Operations & Process Optimization
Use AI tools (Claude, Gemini, workflow automations) to draft communications, summarize reports, and streamline documentation
Maintain AI-assisted trackers, dashboards, and reporting systems
Continuously improve operational processes using AI-enhanced workflows
Administrative & Executive Support
Manage the Director’s calendar, scheduling, and meeting coordination
Track ongoing priorities, deadlines, and deliverables using digital project management systems
Maintain organized, searchable digital filing systems
Prepare meeting agendas, capture action items, and ensure follow-up execution
Financial & Reporting Support
Assist in preparing financial reports, expense summaries, and budget trackers
Review invoices, receipts, and statements for accuracy before approval
Support monthly reporting cycles with clear, data-backed updates
Leverage AI tools to analyze financial data and flag discrepancies or trends
Property-Level Coordination & Communication
Support property-level day-to-day operations as directed
Contact vendors for invoices, and service updates—and follow up until closed

Qualifications
Required
2–3+ years of experience as an Executive Assistant, Virtual Assistant, or Operations/Finance Coordinator
Advanced English proficiency (written and verbal)—you will communicate daily with U.S.-based leadership
Strong financial literacy and exceptional attention to detail
Demonstrated ability to work independently, manage competing priorities, and self-direct
High comfort level with AI tools and automation platforms—this is non-negotiable
Proven track record of holding people accountable and driving follow-through in a professional setting
Technical & AI Skills
Proficiency in Google Workspace, Microsoft Office, Slack,, and similar collaboration tools
Daily use of AI tools (Claude, Gemini, AI writing assistants, workflow automation platforms)
Ability to create structured prompts that generate accurate, actionable outputs
Strong digital organization and documentation practices
Preferred
Bachelor’s degree in Business Administration, Finance, Accounting, or related field (or equivalent experience)
Experience with property management or accounting software (Yardi, or similar)
Understanding of real estate operations and multi-property support
Experience building dashboards, SOPs, or process documentation systems
