Construction Administrative Assistant
Location: Remote (Working with U.S. teams across EST, CST, and MST time zones)
Schedule: Full-time, Monday to Friday (Saturdays may be required)
Compensation: $2,500–$3,000 USD/month
Language: Must be fully fluent in Spanish and able to communicate clearly in English

Position Overview
The Construction Administrative Assistant will play a key role in ensuring smooth project operations and efficient communication across teams, clients, and vendors. This position requires exceptional organization, attention to detail, and the ability to thrive in a fast-paced, collaborative environment.
Key Responsibilities
Provide administrative support to Project Managers, General Contractors, and office staff.
Serve as a main point of contact for vendors and subcontractors—soliciting quotes, processing bids, and tracking documentation.
Maintain consistent communication with clients, providing updates and addressing inquiries or concerns promptly.
Prepare and manage construction documents including change orders, purchase orders, and service agreements.
Perform general office duties such as scheduling, calendar management, filing, and data entry.
Draft and send professional correspondence and reports.
Assist with invoicing, bookkeeping, and tracking project-related expenses.
Maintain accurate project logs, documentation, and digital records.
Support special projects and other administrative tasks as needed.
Qualifications & Skills
Proven experience as an Administrative Assistant (construction industry experience preferred).
Proficient in Google Workspace (Gmail, Docs, Sheets, Calendar, etc.).
Strong written and verbal communication skills in both Spanish and English.
Highly organized with strong attention to detail and accuracy.
Ability to multitask, prioritize, and adapt in a dynamic environment.
Customer-service oriented with a positive, proactive mindset.
Self-starter capable of working independently with minimal supervision.
Reliable high-speed internet connection and professional remote workspace.
Willingness to occasionally work beyond regular office hours to meet project deadlines.
Preferred but not required:
Familiarity with Microsoft Office 365, Wix, JobTread, or CompanyCam.
Relevant certifications or prior experience in construction administration.
