Self-Storage Operations Coordinator
Schedule: Monday–Friday, ~9:00 AM – 5:00 PM EST (flexible within a couple of hours)
Location: Remote, with occasional calls/meetings
Compensation: $1,600 USD per month
We are looking for a highly organized and detail-oriented Self-Storage Operations Coordinator to support the day-to-day operations of our storage facilities. This role is perfect for someone who thrives in a fast-paced, dynamic environment and enjoys coordinating people, vendors, and processes to keep operations running smoothly.
Key Responsibilities
Operations & Task Management
Manage incoming tasks and requests from Automated Storage (Monday.com)
Assign tasks to field reps
Collect updates from field reps and feed information back into Monday
Maintain and update unit repair lists
Coordinate repair projects end-to-end:
Source vendor bids and new vendor contacts when needed
Track project progress and follow up until completion
Manage direct communications with field reps when tasks are not automated
Keep unit status accurate and up to date in Monday.com (automation-supported, but repairs require manual updates)
Manage lock inventory
Conduct secret shopping calls to properties to confirm pricing, availability, and market conditions
Vendor & Financial Coordination
Enter vendors and third-party contacts into CRM (Monday) and keep records updated
Process vendor invoices: input into QuickBooks and manage payment approvals
Keep all operational files (photos, documents, etc.) organized within Office365
Meetings & Communication
Gather agenda items and drive discussions during weekly operations meetings
Manage email inbox delegation and ensure timely follow-up on important items
Conduct cold calling and lead follow-up related to operations and acquisitions
Customer Outreach & Engagement
Conduct outreach to current and past tenants, including negotiating with past-due tenants
Proactively encourage tenants and customers to leave Google reviews
Support other customer-facing initiatives to improve satisfaction and strengthen brand presence
Must-Have Skills & Qualities
Strong comfort with async communication (Slack, email, etc.)
High attention to detail, excellent follow-up, and organizational skills
Ability to coordinate and track multiple projects and tasks simultaneously
Vendor management and negotiation skills
Experience using task/project management tools like Monday.com
Basic accounting/bookkeeping knowledge (QuickBooks experience preferred)
Ability to evaluate on-market properties and assist with acquisitions research
Self-starter mindset: comfortable working independently, dealing with ambiguity, and helping to build and improve processes as we grow
Nice-to-Have Skills
Customer service experience; ability to handle tenant outreach when needed
Underwriting support (Excel): entering unit data, pricing, and competitor analysis
Ability to draft and enhance SOPs and documentation
Light marketing and creative support:
Social media (Facebook, LinkedIn, X/Twitter)
Newsletters (beehiiv or similar platforms)
Graphic design for simple marketing/operations materials
Familiarity with AI tools (ChatGPT, Claude, etc.)
Experience with Google Ads campaign management
